Privacy Notice
How we handle information.
This notice covers the public website, demo inquiries, and the current KeyPersonAI portal. Engagement-specific terms may add or replace requirements for a particular customer.

Information we collect
We collect information you submit, such as contact details, project details, interview responses, recordings, transcripts, uploaded documents, and support communications. We also receive basic technical records such as IP address, device or browser information, sign-in events, and service logs.
How we use it
We use information to respond to inquiries, authenticate users, operate and secure the portal, conduct agreed knowledge-capture work, generate customer deliverables, provide support, prevent abuse, and meet legal obligations. We do not sell customer content.
Service providers
Cloudflare provides hosting, databases, object storage, edge security, and some AI processing. Anthropic provides language-model processing. OpenAI may provide text-to-speech processing. Resend delivers transactional email. These providers process information only for the functions used by KeyPersonAI and under their applicable commercial terms.
AI model training
KeyPersonAI selects commercial AI services and configurations intended to prevent customer content from being used for general model training. The providers and applicable terms for sensitive work should be confirmed in the engagement agreement before material is uploaded.
Access and disclosure
Information may be accessible to authorized customer users, necessary service providers, and authorized KeyPersonAI administrators when needed to operate, secure, troubleshoot, review, or support the service. We may also disclose information when legally required or to protect rights, safety, and service integrity.
Retention and deletion
Retention depends on the information and engagement. Contact inquiries are kept as needed to respond and maintain business records. Portal content is retained according to the customer agreement and operational requirements. Contact us to request access, correction, export, or deletion. Some records may need to be retained for security, legal, backup, or accounting purposes.
Security and sensitive data
We use safeguards described on our Security page, but no online service can promise absolute security. Do not upload protected health information, privileged legal material, payment-card data, government identifiers, or similarly high-risk information unless a written engagement expressly authorizes it.
Pastoral and church information
Pastoral-transition projects are not intended to collect confidential pastoral-care records. Participants are instructed not to provide confessions, counseling details, identifying information about minors, medical information, allegations, donor records, benevolence records, or private third-party information. Potentially sensitive interview material may be placed in a restricted review area and excluded from generated outputs until an authorized customer reviewer approves, redacts, or deletes it.
Limits of automated detection
Sensitive-content detection is an additional precaution, not a guarantee. Automated systems can miss sensitive material or flag harmless material. Customers must independently review transcripts and generated outputs and determine appropriate access, retention, disclosure, reporting, and deletion requirements.
Your choices
You may decline to submit information, although some services will then be unavailable. You may ask us to stop marketing contact at any time. Transactional messages needed for an active account or engagement may still be sent.
